Importing and modifying documents in bulk
What it is for
When you have several thousand documents to load into the platform, or a whole series to reclassify, we recommend using the document actions on this screen rather than going property by property through the Documents tab.
How to get there
⚙️ Settings › Document actions.
Before you start
These actions depend on the permissions you have been granted — the "Advanced document actions" permission. You may not have access to them: if you need them, ask your internal contact.
Step by step
Import a batch of documents
-
Open Settings › "Import documents".
-
Fill in the configuration file in CSV format, with one row per document:
Column Required Where to find it File name (with its extension) Yes Property code (or building code) Yes It is the code of your property or building. You can also take the one shown in the property's URL Document template identifier Yes Settings › Document templates Folder identifier No Class code No -
Import the configuration file. The platform checks it is valid — that the properties and templates really exist. If there is an error, correct it and import again.
-
Once the file is valid, upload the documents. They are filed according to your file and appear in the Documents tab of each property.
If you leave the folder and class empty, the artificial intelligence determines them. The result is visible in the property's imported document tracking.
Reclassify several documents
Upload a reclassification file on the bulk document actions page. After processing, a summary is presented to you; the listed documents change class and/or folder.
Good to know
Four precautions that avoid unpleasant surprises:
- Do not change the column headers of the configuration file.
- No empty rows at the end of the file: the resulting error message is misleading.
- Save in CSV format.
- Run a first test with a few documents before launching your full batch.
This limit covers the configuration file and the documents. There is no limit on the number: work in batches. As a rough guide, around 4,000 documents (4.1 GB) take in the order of an hour and ten minutes.
Do not navigate away during the import — open another browser tab if you need to work in parallel.
